Sharing a document
Generate a trackable link, send it through any channel, and follow up confidently, without ever attaching the file.
Plox Tip
Set access controls before you copy the link. Once someone opens the link, the controls take effect immediately, so it's safer to lock things down up front than to tighten after the first view.
Before you begin#
- The document uploaded under the Documents tab. See Uploading a document.
- (Recommended) Your logo set under Branding so the share page looks like your product.
How to share a document#
- Open Documents in the sidebar.
- Find the file you want to share.
- Configure access controls, passcode, email, OTP, allowlist, NDA, watermark. See Security overview.
- Click the Copy Link icon on the row.
- Paste the link wherever you want, email, Slack, calendar invite, LinkedIn DM, even a QR code.
That's it. The link is live, your controls are in effect, and analytics start the second a viewer opens it.
What viewers see#
When a viewer clicks the link they land on a branded share page:
- Your logo and brand colors at the top.
- Any access gate you set (email box, OTP, passcode, NDA).
- The document, full-screen, with a clean reader interface.
There's no Plox app to install, no account to create on the viewer's side, and the page works on mobile, tablet, and desktop.
Best practices#
- One link per audience. Don't reuse a single link for investors and customers, create separate documents (or a Data Room) so analytics stay clean.
- Update in place. Need to change a typo after sending? Replace the file in the Documents tab, the same link automatically serves the new version. No re-sending.
- Pair email gating with OTP when you actually need to know who's reading. The naked email field is helpful for capture but easy to fake.
- Disable download for evergreen content so leaks come back to you, not to a forwarded PDF in someone's inbox three years later.
After you share#
Switch to Analytics to watch the response in real time. See Tracking your document for how to read the signals like a pro.
What to read next#
- Tracking your document, turn views into follow-ups.
- Security overview, pick the right controls for the audience.
- Confidential Documents, the all-on preset for high-stakes shares.
